Product Q&A: SpotOn Surgical

SP: What was the genesis behind the decision to develop the SpotOn tools and offerings? What operating room problem or need are they meant to address?

Spot-On Surgical: The founders of SpotOn Surgical began to see a collision of trends in the operating room several years ago. Hospitals were successfully implementing programs to reduce supplier foot traffic in the operating room, while products and equipment used in surgery continued to increase in complexity. It seemed inevitable that remote support and improved aggregation of training tools would improve the situation. SpotOn Surgical sought early feedback from the perspective of the nurse, surgeon, IT manager, supplier, and representative to guide software development. The result is a simple, yet powerful tool with a low cost subscription model that is shared between supplier, representative, and provider. Recent trends such as rep-less pricing, new taxes, and strained margins, and expanding use of computer assisted and robotic technology all lead to an even greater need for immediate remote support when a company representative is not physically in the room.

SP: Can you describe some of these tools and offerings in detail?

Spot-On Surgical: The SpotOn Portal is provided to hospitals with each subscription. In addition to containing a master phone directory of surgical suppliers, the portal provides access to product support documents, in-service videos, and other tools that participating suppliers wish to include. Clinicians can review a set-up guide or IFU from a single mobile portal, and if needed, they can select a connect feature that initiates a secure video conference with support personnel from that supplier. Our Mobile Content and Connect applications allow appropriate supplier support and field reps to answer the calls placed by the hospitals they serve. While the service does not access or transmit PHI, SpotOn has taken great care to meet or exceed HIPAA guidelines.

SP: How easy or difficult is it to incorporate these solutions into the OR? Can you describe how that process usually works?

Spot-On Surgical: While each hospital is different, the process generally involves the IT and OR manager. The devices are assigned to an internal Wi-Fi network and provide immediate benefit to the surgical team, interventional suite, or central processing. We maintain ownership and remote management of the portals, replacing broken devices at no charge and disabling and replacing lost or stolen devices for $150. By managing the hardware, we remove some of the most pressing concerns within the IT department.

SP: How can these solutions be customized to deal with the fact that each OR faces unique and ever-changing challenges?

Spot-On Surgical: Technical issues during surgery can be incredibly unique and urgent, and we found that video support reduces the time needed to diagnose and resolve an issue. The product information within the SpotOn Portal is customized and kept current by the supplier. While each OR is unique, suppliers tend to understand the challenges faced with their equipment and implant systems very well. Site-specific applications like surgeon preferences and implant tracking have been developed by other companies, but we may be the preferred delivery device to house them in the future.

SP: How have these solutions been designed to ensure hospital staff can easily learn how to use them?

Spot-On Surgical:  Initially we developed the Portal software with the non-digital user in mind. We limited the use of menus, swiping navigation and hidden features to ensure that anyone could navigate simply and intuitively. bBy bringing many suppliers into our service, we can eliminate the confusion and inefficiency of multiple support devices each with different interfaces and accessories.

SP: Do your customers express concern over data security and information privacy? How does SpotOn address that issue?

Spot-On Surgical:  Yes. There is a clear expectation that we have built appropriate encryption, and security into our service.  I think it’s critical for any company expecting to innovate in the healthcare environment to put privacy and security front and center in the technical roadmap.  There is currently a lot of unauthorized use of Skype and FaceTime taking place between suppliers and clinicians, in addition to texting that may also be outside the boundaries of HIPAA guidelines.  SpotOn Surgical is a compliant tool that can minimize much of this well meaning adoption of technology and eliminate the hospital concerns of managing mobile devices.
